A process audit helps you take stock of how things work in your department – especially the workflows still stuck in the offline world. It’s your chance to map out what needs to change, and how you can make it happen quickly and smoothly.
Reviewing and evaluating your processes is the starting point for making smart strategic decisions. Once you know what needs to be improved, you can create a solid plan to roll out changes and monitor the impact for long term success.

How to use the process audit template
Using the process audit board keeps your project on track without adding extra admin. Here's how to get started:
Step 1: Customize your process audit board
Open the template and you’ll see sections like Offline, Needs clarification, In progress, and Digitalized. These give you a quick snapshot of where each process stands.
You can rename sections, add new ones or remove what you don’t need. The point is to make the board work for your workflow — not the other way around.
Step 2: Add your tasks
Create a new task for each offline process. Add key information in the task description and use the checklists to break tasks down into smaller action items. To set a due date for each task, simply open the task and click the calendar icon in the task sidebar.
Use tags to show task priority and stay focused as you work through the board.
Step 3: Track your progress
As tasks move forward, drag them into new sections. If a process needs more information, move it to “Needs clarification” and use @ to mention the person who can help. Got approval? Move it to “In progress”. Finished? Drop it in “Digitalized”.
You can also use the board to document which processes can’t be digitalized — whether it’s for compliance reasons or logistical limitations. This helps avoid wasted time and keeps expectations realistic.
Step 4: Review and optimize
Use the Reports tab in MeisterTask to track how your project is progressing. You’ll see how many tasks are moving, what’s overdue and which departments are busiest. Keep refining your workflow as you go until your digitalization project is complete.
